About the screenshots. They were taken in a demo company with sample data (a project called “QA-GUIA- Sample Tender Project” and demo consultants). On your screen you will see the HCB project, your own tasks and the real team. The orange boxes and labels point to the element used in each step.

1Signing in

You use the e-mail address and the password you chose when you accepted the consultant invitation.

1.1 Sign in on a computer

  1. Open https://acserp.aguiaconsultores.com/auth/sign-in. You can also open acserp.aguiaconsultores.com and use the sign-in button on the home page.
  2. Type your e-mail address and click Continue →.
  3. Type your password.
  4. Click Sign in. You arrive at the Consultant Portal home page, with your tasks and upcoming deadlines.
Steps 1 and 2: enter your e-mail and click “Continue”.
Steps 3 and 4: enter your password and click “Sign in”. “Forgot?” is next to the password label.

If your account has two-step verification turned on, you will be asked for a code after the password. Follow the instructions on the screen.

1.2 Forgot your password

  1. On the sign-in page, type your e-mail and click Continue →.
  2. Next to Password, click Forgot?.
  3. Check your e-mail address and click Send instructions.
  4. Open the e-mail you receive and follow the link to choose a new password. Then sign in again with the new password.
The “Reset password” page. You will get an e-mail with a link if the account exists.

No e-mail after a few minutes? Check your spam folder first. If it is still missing, ask Hanifa Mepatia (see Need help?).

1.3 Switch the interface to English

The sign-in page follows your browser language. After you sign in, the language button is at the bottom of the left-hand menu. It shows a globe and the current language (PT or EN).

  1. Click the globe button at the bottom-left of the screen (it may say PT).
  2. Choose English. The screen changes immediately.

Your choice is saved in your account, so it also applies when you sign in from another computer or your phone.

The language button at the bottom of the left-hand menu.
Choose “English”.

A few labels can stay in Portuguese, for example some items in the left-hand menu (Início, Projectos, Reuniões, Perfil). Task names and descriptions written in Portuguese may also appear as typed. See the short glossary at the end.

1.4 On your phone

There is nothing to install. Open the same address in your phone browser (Chrome, Safari…) and sign in exactly as on a computer. The screens adapt to the small screen: for example, the Board view is shown as a list grouped by status, and a task opens full-screen.

Sign-in on a phone.
The project on a phone. Tap a task to open it; the menu button is at the top-left.
A task on a phone. Swipe the tabs to reach Files and comments.

Tip: in your phone browser menu, choose Add to Home screen to open ACSERP like an app.

2Working on the project

Everything for the HCB tender is inside the project: tasks, the documents attached to each task, comments and meetings.

2.1 Open the HCB project

  1. In the left-hand menu, click Projects (it may read Projectos). The My projects button on the home page does the same.
  2. The list shows only the projects you are part of. Click the card of the HCB tender project (PJ-2026-0002).
The Consultant Portal home page. “Projects” is in the left-hand menu.
Your projects. Click the card to open it. The switch at the top moves between Map, My tasks and Projects.

The project page uses the whole window. To get back to the menu, use the ☰ button at the top-left, or the arrow next to it to return to the list.

2.2 The project views

The icons at the top-right of the project switch between six views of the same tasks. The header also shows the progress (%), how many tasks are in review and done, tasks due in the next 7 days and the project deadline.

The project page: (1) views, (2) the team, (3) project meetings, and the main menu button.
Canvas (first icon): every task as a card, grouped by person. You can drag your own cards; other people’s cards are fixed for you.
Board: columns by status (To do, In progress, In review, Done, Blocked).
List: a compact list, grouped by status, team or assignee.
Calendar: tasks on a monthly or weekly calendar.
Timeline: a Gantt-style bar for each task, by week or month.
Overview: progress, overdue tasks, reports, meetings and recent activity.

Use Filters (top-right) to show, for example, only your tasks. Map (in the switch on the projects list) shows the same canvas for all your projects at once.

2.3 My tasks

To see what you have to do across all projects, click My tasks in the switch at the top of the projects list (or View tasks on the home page). The tabs filter tasks Assigned to you, Created by me and those you are Following. Tasks are grouped by when they are due.

My tasks, across all your projects.

2.4 Task details

  1. Click a task (a card in Board, a row in List, a card in Canvas, or a line in My tasks). A panel opens on the right.
  2. At the top you see Status, Assignees, Dates, Priority and Labels.
  3. Below are the tabs: Description, Checklist & subtasks, Files, Reports and Activity & comments. The small number on a tab is how many items it contains.
  4. At the bottom: Send for review and Request meeting (on tasks assigned to you).
  5. The double-arrow icon at the top of the panel opens the task as a full page; ✕ closes it.
The task panel: (1) properties, (2) tabs, (3) send for review, (4) request a meeting.

On tasks assigned to you, you can also tick items in Checklist & subtasks and write a progress report in Reports (what was done, what comes next, any blockers). The project manager reviews the reports.

2.5 Documents and uploading a file

The project documents are attached to the task they belong to. Open the task and go to the Files tab.

  1. Open the task and click Files.
  2. To read a document, click its name. To save it, click the download arrow on the right.
  3. To add a file, drag it onto the dotted box, or click the box and choose the file. Up to 10 files at a time, 25 MB each (images, PDF, Office documents, text and zip).
Files tab: (1) the task documents, (2) the upload box.

You can upload files on the tasks assigned to you (directly or through your team). On other tasks you can read and download the files, and comment, but not upload. If you need to add a document to a task that is not yours, ask the project manager.

2.6 Comments

  1. Open the task and click Activity & comments.
  2. Type your comment in the box. Type @ to mention a colleague, who will be notified.
  3. Click Comment (or press Ctrl+Enter). Use Reply under a comment to answer it.
Write the comment (1), then click “Comment” (2).

Team only marks a comment as visible only to the project team; the client does not see it. Use it for internal notes.

2.7 Changing the status of your task

  1. Open one of your tasks and click the Status value (for example In progress).
  2. Choose To do, In progress, In review or Blocked.
  3. When the work is finished, click Send for review at the bottom of the panel. The project manager then approves it (it becomes Done) or sends it back with comments.
The status list. “Done” is not offered to consultants: only the project manager completes a task.

On the Board you can also drag your own card to another column. You can change the status only of the tasks assigned to you.

2.8 Meetings

There are two ways to arrange a meeting.

A. Ask the project manager, from a task. Open the task, click Request meeting, adjust the subject, agenda, consultants and proposed times, then click Send request. The project manager picks the time; then everyone receives the invitation.

Requesting a meeting from a task.

B. Schedule it yourself in Workspace. Consultants can create meetings in Workspace and invite other consultants.

  1. In the narrow bar on the far left, click Work. Workspace opens in a new browser tab, already signed in.
  2. In Workspace, click the Meetings icon (video camera) and then New meeting.
  3. Details: type the title, choose the date, time, duration and time zone, and whether it is online (video) or in person. Click Next.
  4. Participants: search for a consultant by name and tick the colleagues to invite. Click Next.
  5. Confirmation: check the summary and click Schedule. Invitations are sent by e-mail and notification.
“Work” opens Workspace in a new tab.
Workspace: (1) Meetings, (2) New meeting.
Step 1, Details.
Step 2, Participants: search and tick consultants.
Step 3, Confirmation: click “Schedule”.

As a consultant you can invite other consultants of the company. Company staff who are not consultants cannot be invited from your account; ask Hanifa Mepatia to include them. To join a meeting, use Meetings in the Consultant Portal menu (it may read Reuniões) or the meeting in Workspace, and click Join.

3Adding team members

Short answer: with the Consultant role you cannot add or invite people to the project. Adding consultants, inviting client guests and giving roles are done by the project manager, Hanifa Mepatia, or by the project owner at the company.

3.1 What you see

Click the team avatars at the top of the project (on a phone, the people icon). The Team and guests panel opens with two tabs, Consultants and Teams. They show who is on the project and how the teams are organised. There is no button to add or invite anyone in your view.

The team panel as a consultant sees it: lists only, no invite button.

3.2 What the project manager can do

For reference, this is the same panel as a project manager sees it. It has an extra Client guests tab to invite people from the client by e-mail (as Visitor or Commenter), a role selector next to each consultant, and team management.

The project manager’s view: (1) Client guests, (2) the role of each consultant in this project, (3) the team list.

Adding a new consultant to the project team list (+ Add member, with role, allocation and rate) is done in the company’s Projectos module.

3.3 How to ask for a new team member

  1. Contact Hanifa Mepatia, for example with a message in Workspace (Work › Chat), in a project meeting, or through your usual channel with her.
  2. Give the person’s full name, e-mail, organisation, and what they need to do: only view, comment, or work on tasks (and which ones).
  3. Hanifa, or the project owner, adds the person. New people receive an e-mail invitation and create their own password; nobody should share an account.

4Need help?

Hanifa Mepatia is the project manager of the HCB tender project (PJ-2026-0002). Contact her for:

  • access problems (sign-in, password e-mails that do not arrive);
  • tasks, deadlines and documents you cannot find;
  • adding or inviting team members, and meetings with company staff.

Inside ACSERP you can also use Support in the narrow bar on the left, and the Ask AguIA assistant at the top of the screen for quick “how do I…?” questions.
